AI technology is playing a crucial role in enhancing work efficiency within local governments. The introduction of large language models like Microsoft Copilot has enabled tasks such as document summarization, plain language conversion, and data analysis.

Microsoft Copilot, a large language model trained similarly to ChatGPT, operates within the Microsoft environment. It is useful for converting Word documents into PowerPoint presentations or analyzing large data sets. Additionally, it can explain technical content in an accessible manner, aiding local government communication.

Another benefit of AI is efficiency. For instance, the number of submissions for the long-term plan (LTP) increased significantly without a corresponding increase in staff. AI helped address this by summarizing and theming the submissions.

AI is used in tasks like document management and data analysis, with strict protocols ensuring accuracy and fairness. It is employed to augment staff capabilities, not to automate decision-making.

An AI Governance Group has been established to harness AI benefits while aligning with policy and overseeing usage. AI licenses cost $21,000 annually, less than half the cost of an additional staff member, and do not use personal data for training.

This approach contributes to exploring AI applications in collaboration with other local governments. The policy has been adopted by other councils in Canterbury and the South Island, demonstrating how AI is utilized in local government.
